Catchy Subject Lines

  • Use actionable language: “Catch a pass from Tom Brady!” wins over something like “Local Sports Hero Visiting.” It helps the reader visualize actually being there.

Think about the kind of language that piques your interests and gets you to open an email, and always keep it short and sweet.

Get Right to the Point

Think about how you read your emails. Most email is scanned beginning with the subject line and preview pane, and not read in its entirety at all. Don’t inundate the beginning of your emails with an over-abundance of images, icons, and introductory language. Instead, use that space to get to point of your email. If have images and other related copy, put it after the primary point at the beginning, and then restate it at the end.


This works in two primary ways. If you have the recipients first name, use it in your introductory line. Something as simple as “Hi John,” goes a long way. Many email marketing platforms such as MailChimp and Constant Contact have tools that automatically fill in your contacts first name in your emails blasts. Then, if you have a working relationship, following with a friendly greeting is a great way to truly personalize the message. Something as simple as “It was great speaking with you last week!” goes a long way as well.

Add Value

These days, everyone gets inundated with emails day-in, day-out. Before you send your email, think about what sets your email apart from others. By and large, people join email lists not only to learn more about their interests but also to receive something of value just for being signed up. Think of your email list as something of a VIP club and try to treat your subscribers as such. If you’re sending a sales-related email, consider including an exclusive deal for your email subscribers. If it’s an update to existing customers, try to give them something they can use – helpful tips and tricks, tools, or first access to new features.

– Use of coupons: Coupons are attached to direct mails and sent to the consumers. These generally advertise and give cost benefit to the consumers. So they avail these coupons and respond fast.

– Television marketing: Advertisements are given on the television and demos are with toll-free call back numbers or certain websites for the consumer to get in touch with the manufacturers.

– Broadcast faxing: This is the least popular form of direct marketing. The ads are directly faxed to the consumers.

Direct marketing can thus become successful only if the entanglements with the consumer are good. It can be B2B or B2C. It measures exact consumer response.

Email Etiquette – Tips to Write Professional Mails


In today’s biz world, emails play a dominant role in communication. Have you tried imagining your life without internet/emails? Though emails are such integral part of our day to day business, we wonder at times what protocol should be followed while writing business emails.

1. Recipients: It is important that your mail gets attention from the right person. Add the intended recipient’s email address in the To field, and the person who needs to be copied on the mail in CC field. Do not add a person’s name in CC field if you expect him to act on your email. Similarly if you want the email to reach a third person without the knowledge of intended recipient then add the email address in BCC field.

2. Order of Importance: Always add email address in descending order of importance. For e.g. if a mail is sent to your team members for allocating tasks, then first email address will be of the person with maximum tasks at hand.

3. Subject Line: Your subject line should convey the objective of the mail. Do not use words like Imp, please reply, help needed etc. Subject line should be crisp and should give the reader an idea of the content. Please understand that we receive high volumes of email everyday and it is the subject line that helps the viewer to determine whether to read the mail on priority or not.

4. Priority: Mark a mail high priority only and only if it needs immediate attention. We all receive a lot of forwarded emails, fun emails which are not related to work, please mark such mails on low priority.

5. Structure: Your mail should be drafted in a manner to give complete understanding of your objective. Email should contain 4 elements. These elements are:

a. Purpose: Explain the purpose of the mail in clear manner.

b. Action: Mention what is expected out of the recipient

c. Information: Provide all the information that recipient may need to complete the action

d. Conclusion: Always conclude your mail on positive note or by thanking the recipient.

6. Do not use capital/ block letters as they suggest that the sender is shouting!!!

7. Use blue or black colors for writing your emails. If you need to highlight a point you can use ‘bold’. Refrain from using red color in your emails as it suggests danger.

8. Do not use reply all if you need to reply to an individual.

9. Never write an email in anger/frustration. It will reflect poorly on your image. Always think through before you write an email.

10. Avoid abbreviations and emoticons in business emails. Words like BTW, LOL are strict no- no.

11. Read Receipts: Never ask for read receipts from your recipients. It is simply annoying.

Cascading Style Sheets and Email Display


Designing the HTML version of your email message can be difficult since there are so many different email client and operating system combinations out there – and they have their own way of rendering HTML. And there really is no way to be positively sure which client your readers will be using to view your messages.

If your reader has a Hotmail address, it’s generally safe to assume that he will be reading your message through the Hotmail web client. But what about your readers with private email addresses? Will they be using Microsoft Outlook? Will it be Outlook 2000, Outlook 2003 or Outlook 2007? Or maybe he’s using Lotus Notes? What if he had his TLD email forwarded to a Yahoo account? And is he using a Mac or a PC?

Since you don’t really know the answers to any of these questions, when designing your email campaigns it’s important that you always design for the most accessibility.

Cascading Style Sheets (CSS) offers the ability to make your email messages extremely graphic and enticing. Unfortunately, there is still limited support of r CSS with many email clients and across various platforms. One of the biggest CSS-offenders is Outlook 2007; and since studies show that up to 75% of email readers use Outlook, you just can’t ignore its rendering flaws.

Unfortunately, Outlook 2007 has no support for floating elements, which is widely used in CSS for positioning objects. So it’s based to use a table-based layout when designing your email campaigns. Think web design circa the year 2000. If you’re a new designer and have never dealt with tables before, you can get tons of how-to information from the W3C.

While Outlook 2007 does support the property, I don’t recommend that you use it to attach your style sheet. At least 50% of your readers will have their images turned off, which means any linked elements will not be linked – and this includes your external style sheet. Besides, Gmail, Live Mail and Hotmail don’t support linked elements, so it’s a good idea not to use them anyway. Instead, define all of your styles within your message and never rely on an external style sheet for your email messages.

Where, within the message, you should define your styles is another story altogether. Live Mail looks for the style sheet with the , Hotmail looks for the style sheet right below the tag. Outlook 2003, Outlook 2007, AOL, Yahoo, Entourage and Thunderbird will accept either placement, but Gmail doesn’t accept any of them.

The best option is to use in-line style tags. In-line style simply means that the style for each element must be defined individually. Instead of defining your style sheet within your head like this:

<link rel="STYLESHEET" type="text/css" href="http://www.mysite.com/style.css">

or even something like this:

</p> <style type="text/css" media="screen"> <p><!-- p {"urn:schemas-microsoft-com:office:smarttags" />georgia, serif; font-size: x-small;} hr {color: #ff9900; height: 1px } a:hover {color: #ff0000; text-decoration: none} --></p> </style> <p>

When you’re defining those elements, keep in mind that not all CSS properties are supported across the board on all email clients. If you want to present a consistent message to all of your readers no matter how they are reading your mail, limit yourself to these CSS properties:

And since more and more readers are now accessing email on PDAs and other handheld devices, you can never be 100% certain how or where your message will be read. So I suggest you always use Multipart-Mime messaging, and always include a link to your text version within the html version of your message.

CASL – Email Marketing Has Been Killed In Canada


We talked about the rules of the Canadian Anti-Spam Law, a law which does far more than attack spam. It’s a misguided piece of legislation, in my honest opinion. It requires businesses to obtain consent before sending commercial messages online, identify themselves by name and physical address, and provide a clear manner of removing consent through unsubscribing for every communication. Even a single one. Getting consent for sending out marketing messages is a good practice, but not for someone you’ve had a long relationship with in the past.

Thank goodness businesses have a three year grace period for current business relationships, but what does this legislation mean in the long term? Quite frankly, this is going to wreck or dramatically alter a lot of business models. It’s also not going to do much against spam so let’s talk about the effects of CASL.

Why CASL Doesn’t Work Against True Spam

First of all, I don’t see why we need new spam legislation in the first place. Today’s web filters are very good at blocking nearly all the spam we get. The few pieces that do get through tend to be scam emails that encourage someone to launder money, and CASL is not going to stop those. In fact, since I won’t be getting my gift certificates from Best Buy because I somehow lost that consent email in the CASL flood, the real spam emails are going to stick out and bother us even more. It’s the very illegal emails that use high levels of technical trickery to get around the filter that still make it to your inbox and CASL isn’t going to stop them. In the past, an email from the local big box store with coupons will just get tossed like any other form of junk mail and we can look at it in the junk folder. We’re used to that. Isn’t it also strange that we have spent a ton of time, energy, and money for CASL to stop so called electronic junk mail, but we are still going to have our physical mailbox at home filled with real junk mail that is 1000 times more wasteful?

All of this effort, and CASL has no real teeth to address truly illegal spam at all unless it comes from inside the country! Nearly all of it originates from outside North America. Is the Canadian court going to issue a summons for someone in Asia or Africa and demand they pay? I find this laughable. Of course, if someone is ignorant enough to run a classic illegal spam campaign in Canada now, they’re going to pay big time.

Even more laughable is that CASL can only affect Canadian businesses. International companies have no reason to comply with the law! A professor, Leyland Pitt of SFU, believes that this law will only reduce about 2% of spam.

The Oncoming Flood

In the last month there has been a flood of consent request emails going out to customers, colleagues, etc… Every business large and small has been pounding inboxes asking for consent to cover themselves for their current and new relationships If it hasn’t already happened, you can bet that consent fatigue is going to set in.

Additional fallout: My CASL predictions

In the short term, businesses will work to comply with the law. However, I do have some predictions:

Companies that rely heavily on email marketing may offshore their email operations through an offshore subsidiary to try and get around the law:

There are some portions of the law that make this difficult, notably the identification rules, but it’s not impossible. Once that trick is figured out, expect more emails that don’t comply with the act but can’t be prosecuted.

Digital marketers are going to make a ton off this law:

Google and Facebook will just love this in Canada. Some will be burning the midnight oil to help businesses comply with the law. PPC ad companies will see a big bump in revenues because businesses will find very quickly that they just don’t have the audience for email marketing through losing 95% of their email lists.

Canadian businesses will find themselves at a disadvantage:

CASL is basically a “Do Not Call” registry for email marketing, with all the same inherent flaws. Once companies figure out how they can legally move their email operations off-shore, it won’t stop them from sending messages. It doesn’t stop illegal email activity. It puts extra burdens on Canadian businesses and consumers, and makes it harder for Canadian businesses to compete against international interests. For small online businesses in Canada that use mass emails to communicate with their customers, this could be a death sentence. They’re now locked in the CASL dungeon, searching for a way out.

Digital Strategy will become a must for businesses:

All is not lost for those that have the know-how to make things work. Getting consent is not difficult when you have something that customers and potential customers want. I get consent from customers all the time because I give them information that they are interested in. Things like leadership casting and digital hooks are going to become extremely important and for the companies that know how to do this will end up with a very engaged email list that will be in the ever important sales funnel.A little consent goes a long way in learning how to smash the web!
